Billing, cash and claims

Every service charged, every payment counted, every claim complete

Charges are raised from the orders, results and dispensing that actually happened. Cash is balanced counter by counter, with a second person on every refund. And NHIS claims are assembled from the documentation, checked before upload, and matched against what NHIA pays back.

Insurers & companies
One patient account Charges, payments, claims
One account per patient at the centre. Charges come in from orders, verified results and dispensing, and payments from cash counters that each balance their own drawer. NHIS claims are checked, then uploaded by the claims officer through the NHIA Smart Client, and the NHIA feedback and payment files come back in. Private insurers and corporate accounts are billed from the same account.

The problem

What it is built to fix

Paid months late

Claims put together by hand at month end go out late, and the reimbursement arrives later still.

Cuts with no explanation

Vetting deductions and short payments arrive in a file nobody reads, so the money is never chased.

Leaks at the counter

Services given but never charged, refunds approved by the person who asked for them, and drawers that never quite balance.

Capabilities

What Revenue & NHIS does

Charges captured as care happens

The price list drives every charge, and missed charges are found.

What is included in Charges captured as care happens: 4 items
  • Price lists and fee schedules, imported from a spreadsheet
  • Charges raised from orders, verified results and dispensing
  • Services delivered but never charged are flagged
  • One account per patient: charges, payments, claims and receipts

Cash controls at every counter

Collection that fits how your facility actually takes money.

What is included in Cash controls at every counter: 4 items
  • A central cashier, collection at each department, or a mix
  • Each counter balances its own drawer at the end of the day
  • Refunds, write-offs and voids need a second person; nobody approves their own request
  • Bank transfers count only once finance has confirmed them

NHIS e-claims, checked before upload

Claims built to the NHIA e-claims specification from what was documented.

What is included in NHIS e-claims, checked before upload: 4 items
  • Membership and Claim Check Code recorded at registration and carried onto the claim
  • G-DRG, tariff and NHIS Medicines List data, checked against your facility’s level
  • Pre-flight against NHIA’s rejection rules: blockers and warnings, each naming its rule
  • Monthly batch file in the NHIA e-claims format, ready for Smart Client upload

What NHIA actually paid

The other half of the claim, which most facilities never close.

What is included in What NHIA actually paid: 4 items
  • NHIA feedback files and payment advice read back in
  • Underpaid and denied claims listed, with the reason NHIA gave
  • A second read of a claim against the clinical note, flagging unsupported codes and care left off the claim
  • Private insurers, corporate accounts and prior authorisations

Workflow

From the visit to the money in the bank

  1. Register

NHIS membership and the Claim Check Code are recorded.

  2. Charge

Charges are raised from what was ordered, resulted and dispensed.

  3. Collect

Each counter takes and balances its own payments.

  4. Claim

The batch is checked against NHIA’s rules, then uploaded.

  5. Reconcile

NHIA’s feedback and payment files show what was cut, and why.

Frequently asked questions

Does H-Link submit claims to NHIA directly?

No. H-Link prepares the batch file in the NHIA e-claims format, and your claims officer uploads it through the NHIA Smart Client, as NHIA requires. NHIA’s feedback and payment files are then imported back into H-Link.

Can it check NHIS membership live?

Not today. Staff check the card as they do now, and H-Link records the result and the Claim Check Code so they flow onto the claim.

Does the AI change our claims?

No. The claim review is advisory: it quotes the line of the note behind each finding, and the claims officer decides what to change. Every review is kept.
