Terms of Service

Last updated 20 October 2026

These terms govern the use of the H-Link platform (the “Service”) by healthcare organisations and their authorised users. The Service is provided by H-Link LLC (“H-Link”, “we”, “us”). An organisation’s signed order form or agreement with H-Link takes precedence over these terms where the two differ, except section 6, which applies in addition to any such agreement.

1. The Service

H-Link provides a cloud-based hospital management and electronic medical records platform, including clinical workflows, laboratory, pharmacy, billing and claims, patient portal and related services. Each subscribing organisation (a “Tenant”) has its own workspace, configuration and hostname, with its records kept separate from every other Tenant’s.

2. Accounts

Organisations are onboarded by H-Link. Each Tenant names an administrator who manages its user accounts and roles, and who is responsible for making sure access is given only to people who need it. Users must keep their credentials private and should turn on two-factor sign-in.

3. Your data

Clinical and patient data entered into the Service belongs to the Tenant. The Tenant is the data controller; H-Link processes that data on the Tenant’s behalf and only to provide, secure and support the Service. How we handle personal data is described in our Privacy Policy, and the controls protecting it on our security page.

4. Acceptable use

You agree to use the Service only for lawful healthcare and administrative purposes. You must not attempt to access another Tenant’s data, probe or disrupt the Service except under our responsible disclosure process, reverse engineer the platform, or use it in breach of any law or professional regulation that applies to you.

5. Clinical responsibility

The Service is a tool for healthcare professionals. Clinical decisions remain the responsibility of the licensed professionals who make them. Suggestions from AI-assisted features are decision support, not medical advice, and must be reviewed by a clinician before they are acted on.

6. AI features and model terms

Some AI-assisted features run on Google’s MedGemma models, which Google provides under the Health AI Developer Foundations Terms of Use. As a condition of using those features, you agree not to use them, or let anyone else use them:

  • for any use prohibited by the Health AI Developer Foundations Prohibited Use Policy, including the unlicensed practice of medicine, making automated decisions about a person’s health care without review by a qualified professional, generating content that infringes anyone’s rights, or processing sensitive personal information without the consents the law requires;
  • in any way that could lead a health regulator to treat Google as the manufacturer of a medical device; or
  • in breach of any law or regulation, including health regulation.

These restrictions are an enforceable part of these terms and apply in addition to any signed agreement with H-Link. Google may restrict use of its models where it reasonably believes they have been breached, and H-Link may suspend the affected AI features in that case. A copy of the Health AI Developer Foundations Terms of Use is available at the link above, or from us on request.

7. Availability and support

We work to keep the Service available and will give notice of planned maintenance where we can. Any service-level commitment is set out in the Tenant’s agreement; these terms do not create one. We are not responsible for interruptions caused by events outside our reasonable control, including failures of power or internet connectivity at a facility.

8. Fees

Fees, billing periods and implementation charges are set out in the Tenant’s order form. What each plan includes is described on our pricing page.

9. Intellectual property

H-Link owns the platform, including its software, design and documentation. We claim no ownership of any Tenant’s data.

10. Ending the service

A Tenant may leave at the end of its subscription term. Before its workspace is closed, the Tenant can export its clinical records in FHIR R4 format. At the Tenant’s written request, we then return or delete the Tenant’s data as set out in its agreement, except where the law requires us to keep it. Deletion is carried out by our team on request, not automatically.

11. Changes

We may update these terms. If a change materially affects Tenants, we will notify administrators before it takes effect.
